Project Background
Project Background
This project turned a private pilot's handwritten and scanned flight logbooks and simulator training records into structured CSV files for LogTen, the pilot logbook app.
The source PDFs mixed printed tables, handwritten entries and different column layouts. The conversion combined OCR, image processing, document-specific field mapping, handwriting review and data validation. Each CSV was mapped to its source document and reviewed before the pilot imported it into LogTen.

Business Needs

Business Needs
The pilot needed historic flight and simulator records, spread across several PDF documents, turned into structured digital data. The process had to:
- Extract entries from handwritten and scanned flight logs
- Handle printed crew flight tables and handwritten simulator records
- Map each document layout to the right CSV fields
- Standardize dates and times while keeping their original meaning
- Check entries against the source pages and correct transcription errors
- Deliver reviewed CSV files for the pilot's LogTen workflow

Project Challenges
- Handwriting: Handwritten values, abbreviations, overwritten figures and small numbers needed careful review against the original pages.
- Different layouts: Flight and simulator logs had different row counts, column widths, headings and field orders, so each needed its own extraction and mapping.
- Scan quality: Rotated pages, faint table lines, shadows and two-page spreads affected text recognition and table rebuilding.
- Aviation time formats: Flight, duty, simulator and instrument time and approach counts had to be told apart, and decimal hours handled separately from hours and minutes.
- Validation: Headings, blank rows, totals and notes had to be separated from real records, and unclear values checked against the source.

Strategy and Solutions

- PDF pages converted to images for extraction and review
- OCR with word positions (Tesseract, DocTR) to extract printed content and rebuild tables
- Field mapping per document, based on each log's structure and headings
- Handwriting review that compares unclear entries with the original page
- Date and time normalization that follows the source notation
- Calculation checks that keep decimal hours and hours and minutes apart
- Filtering of blank rows, headings, totals and other non-record content
- Batch quality review before export
- CSV files per document with record counts, ready for LogTen import
Results & Impact
- Handwritten and scanned flight and simulator records turned into structured digital data
- CSV files per document that can be reviewed, sorted, filtered and corrected before import
- Less repetitive manual data entry for the pilot
- Consistent data through field mapping, time normalization, calculation checks and source-page checks
- Support for different logbook layouts without a fixed number of rows or columns
- Reviewed CSV data delivered for the pilot's existing LogTen workflow
