Project Background
Project Background
CAPTY PDGA Tournament Data Automation is a set of n8n Cloud workflows that connect the Professional Disc Golf Association (PDGA) website and APIs with CAPTY's sports analytics backend. The workflows discover tournaments, collect event and player data, calculate performance statistics and sync structured results to CAPTY.
Scheduled workflows, reusable sub-workflows and on-demand webhooks cover the whole tournament data lifecycle: new event discovery, future and completed event processing, round and division analysis, player statistics, rating history and recovery of tournament IDs that could not be processed earlier.

Business Needs

Business Needs
CAPTY needed a reliable, repeatable way to collect PDGA tournament information and turn it into structured data for its analytics platform. The solution had to:
- Discover newly published tournaments automatically
- Collect tournament details, divisions, rounds, players and results
- Calculate tournament, round, division and player statistics
- Send structured data to the right CAPTY API endpoints
- Process single tournaments and player rating histories on demand
- Track unavailable or incomplete tournament data and retry it later
- Alert the team when a workflow fails

Project Challenges
- Different data sources and formats: Tournament listings, event pages, overview endpoints, live round results and rating history all return different structures that had to become consistent CAPTY payloads.
- High request volume: Each tournament has several divisions and rounds, so requests needed batching, pacing and retries.
- Unavailable events and incomplete results: Some tournament IDs or result pages are missing or partial, so the workflows track these IDs and give them a recovery path.
- Accurate statistics: Summaries aggregate round scores, hole-by-hole results, ratings and rankings, so parsing and calculation logic had to treat every value the same way.
- Monitoring and recovery: Scheduled jobs can fail with nobody watching, so the workflows send error alerts, track processing status and retry selected records.
- Workflow dependencies: Discovery, results processing, player analytics and recovery share reusable sub-workflows and consistent API mappings.

Strategy and Solutions

- Automated discovery that compares PDGA listings with CAPTY's latest recorded tournament ID
- Scheduled workflows for discovery, future and completed events, and player and division refreshes
- PDGA data extraction for tournament details, status, rounds, divisions, players and results
- Tournament highlights: average scores, ratings, birdies, eagles, aces, streaks, ranking changes, hardest and easiest holes
- Player and division statistics: finishing positions, podium finishes, division winners, round ratings and hole-by-hole summaries
- Sync to dedicated CAPTY endpoints for core data, highlights, round, division and player summaries
- Webhook that processes a single tournament on demand
- Webhook that returns rating histories for multiple PDGA player numbers
- Recovery workflow that rechecks unprocessable tournament IDs every two hours
- Slack alerts for failures and Google Sheets status tracking
- Batching, wait steps and retry settings to control request volume
Results & Impact
- A multi-workflow pipeline that discovers and processes PDGA tournaments automatically
- Scheduled collection of tournament details, event status, round and division results, and player data
- Tournament highlights, player statistics and division summaries for every processed event
- Structured data synced to dedicated CAPTY backend endpoints
- On-demand processing for single tournaments and player rating histories
- Scheduled recovery for tournament IDs that were unavailable earlier
- Clear visibility through Slack alerts, Google Sheets tracking and execution logs
